Process Flow Project – Individual Assignment
The goal of this project is to help you begin to see the Information Systems behind the processes that you use each day. Technology is typically implemented to support the processes that you have developed, but sometimes when we think about what the technology can do, it causes us to reshape our processes. Therefore goal of this activity is to help you look past the screen and think about the systems and processes that brought that data to you to use in your role.
Please watch the following video. This is not an exact description of medical billing, but it makes some good points that will get you thinking in the right direction for the course.
Consider the workflow of YOUR current (or some previous) position. Maybe there are too many different flows of data…if so then just choose one and focus on it for this activity. I want you to consider the many ways that technology supports the people and processes in your organization. To do this, imagine you are preparing this report for a committee that is reviewing businesses processes and the technology that supports those processes (and looking for process improvements). Your job is to think through the impact that information systems have on internal and external people, and internal and external processes. Are there people (internal or external) that need to be brought in at different stages? Is information available in one system (internal or external) that is not available in another that would improve efficiency?
You will be using your current role (or the role that you held at the organization) to think through this project. If you are currently unemployed, or in a new position, feel free to think about a former job that you had more knowledge about the processes of the organization. Imagine that you are a committee member in this role.
Your audience is the committee that has been tasked with process review.
You will create the following:
o Diagram of the flow of data you are considering and definitions of what is internal/external for this consideration.
o Most organizations are too large to consider all the data that is used and therefore most students choose a particular area and focus on how data flows in that area. It is OK to narrow the scope, but you have to define for your data flow what is internal and what is external. Is just your team internal? Just your department? Just your business unit? Or your entire organization?
o Discussion of the people impacted and processes used (both internal and external)
o Discussion of any changes you have noticed in this exercises that could be beneficial for your organization.
Standards for Success – You will be graded on these measures
o Length: Complete this exercise (graphics included) in 3-4 pages. Use your judgment and apply the Goldilocks Principles (https://vividmethod.com/goldilocks-communication-just-the-right-amount-of-information/) so that your paper isn't too long, or too short, but just right. Just don't add fluff or leave out important information.
o Format: Use your best professional judgment. Charts, bullets and diagrams are always helpful to make sure your submission looks nice and makes an effective read to give to your boss's boss.
